Box AI

Our storage system, Box, features an integrated AI that can work across documents to provide summaries, study questions, and more.

It is important to note that, in the case of Box AI, usage is limited. From the UIS AI Features FAQ page:

“For Box, each user has 20 queries per month. After a user has used their queries for the month, they start using queries from a shared pool that all Box users have access to. There is currently no way to see, in Box, how many queries one has used for the month. UIS asks every user to be conscientious in their use of queries so as not to deprive others of the ability to use this resource.”

Box offers the ability to store and share study materials to students in a secure folder with an in-application AI that can answer questions, define terms, explain concepts, and generate study guides, drawing on the materials provided. If students (with proper support with prompting) use this tool rather than seeking help from an outside chatbot, this can make the outcomes more reliable, as well as promoting better privacy and intellectual property outcomes.

Document summaries

Box AI can be used to give you a summary of any document stored in Box. Click the colorful-atom icon Colorful atom icon used by Box AI at the top of the screen while viewing a document (PDF, Word, text, etc.) in Box preview, or a Box Note.

Box offers a set of prompt suggestions when you open it:

  • Summarize this document
  • What are the key takeaways?
  • How can this document be improved?
  • Are there any next steps defined?

You can also write your own prompts. For students, you could prompt them to ask the AI to synthesize the main points made about a concept that they are finding challenging, define terminology, or write them a list of study questions. Box AI can work across multiple documents and deliver a summary referencing where particular mentions occur across different documents.

Box AI is particularly effective when it comes to referencing. Each answer will include a set of ‘footnotes’ (small, hyperlinked numbers at the end) which, when hovered over, will show a user exactly which section of which document is being referenced, and clicking the provided link will take a user to the appropriate section of the referenced document such that they can examine the original context.

Summaries across documents

Box AI can work across multiple documents and deliver a summary referencing where particular ideas or features occur across different documents. Select multiple documents in a folder and click on the colorful-atom icon Colorful atom icon used by Box AI, and enter a prompt. If you upload all of your course materials to a Box folder, students can use this feature to find where a concept is mentioned across different documents, or all of the places where statistical analysis occurs, and so forth.

Example applications for Box AI are as follows:

  • Assist in analyzing research data stored in Box by identifying key insights and patterns within large datasets.
  • Help in drafting reports, managing large volumes of content, and making administrative tasks more efficient.
  • Quickly find relevant information within large files without manual scanning, saving time for both students and faculty.
